Borough Clerk – Open Position
Description
The Borough Clerk/Administrative Assistant is a part-time, hourly position appointed by the Borough Council and directly supervised by the Borough Manager. This in-person role is based at Borough Hall, located at 3421 Buffalo Road, Erie, PA, 16510.
The Clerk performs a variety of administrative, clerical, and customer service tasks to support the daily operations of the Borough Office. Additionally, the Clerk assists the Borough Manager and department heads with various administrative responsibilities as needed.
The position requires handling confidential and sensitive information at times.
Work hours are generally from 8:00 AM to 4:00 PM on Monday, Wednesday, and Friday. On certain Wednesdays, the Clerk may be required to attend Borough Council meetings at 6:00 PM
Compensation
The compensation for this position is $17.50 per hour.
During the initial 90-day probationary period, the compensation will be $16.50 per hour. Upon successful completion of the probationary period, the hourly rate will increase by $1.00.
As a part-time employee, no additional benefits are provided.
Duties and Responsibilities
- Answer phone calls, respond to public inquiries, and direct calls to the appropriate departments.
- Greet visitors at the office window, process applications, and handle payments for various functions.
- Utilize a computer frequently to gather information online, create documents, and work within the Microsoft Teams workspace and the Wesleyville.gov website.
- Compile periodic reports for various Borough functions.
- Assist with the Borough’s grant process, including identifying applicable programs and gathering materials for applications.
- Support the administration of the Borough’s licensing and permitting processes.
- Provide administrative assistance to department heads as needed.
- Perform routine office tasks and manage special projects as assigned.
- Help create informational materials for the community website and resident notification system.
- Assist in preparing meeting materials and attend Council meetings as needed to provide administrative support.
- Uphold the highest ethical standards in all responsibilities.
- Maintain a high level of professionalism at all times.
- Ensure strict confidentiality when handling sensitive information.
- The role may require prolonged periods of sitting, occasional lifting of office supplies (up to 20 lbs.), and consistent use of a computer and other office equipment.
Note: The Borough retains the discretion to adjust the job description as needed from time-to-time.
Minimum Requirements
These minimum requirements are preferred but not necessarily required, candidates are encouraged to apply.
- High school diploma or GED equivalent; municipal work experience, college education, or a combination of these.
- Basic understanding of business operations and the role of local government.
- Strong ability to maintain effective relationships and collaborate with co-workers, officials, and the general public.
- Capability to work independently without direct supervision.
- Basic proficiency in computer software and hardware, with the ability to operate standard office equipment.
- Willingness to learn new processes and adapt to changes.
- Must pass a satisfactory background and criminal check with no felony convictions.
- Must be bond-able through the Borough’s designated agent.
